Privacy Policy
1. Who we are
JamSession Lab (“we”, “us”) organises jam session music events in Ireland and operates this website. For privacy questions or data requests, contact us at Contact Us or email staff@jamsessionlab.ie.
2. What we collect
Depending on how you use the site, we may process:
- Account data: first and last name, display name, email address, phone number, date of birth, county and town/city, instruments, experience level, years of experience, and password (stored securely as a hash).
- Optional profile data: profile photo, preferred music genres, bio, and social/music links.
- Event registrations: which sessions you join, optional notes, and song details you submit for open mic / open jam.
- Community & gallery content: posts, comments, likes, and photos/videos you upload (subject to moderation before they appear publicly).
- Contact messages: name, email, subject, and message when you use the contact form.
- Technical data: basic server logs needed to run and secure the site (for example IP address and browser type in hosting logs).
3. Why we use your data
- Create and manage your account, and verify your email address.
- Register you for events and reduce no-shows where attendance is tracked.
- Invite you to the JamSession Lab community WhatsApp group (this is the specific purpose of collecting your phone number).
- Show your public profile and moderated community/gallery content.
- Moderate uploads and keep the community safe and relevant.
- Reply to contact-form enquiries and support requests.
- Improve security, prevent abuse, and meet legal obligations.
We process this data because it is necessary to provide the service you request (contract), because you ask us to (consent where relevant, such as optional profile details and WhatsApp invite use of your number), and/or because we have a legitimate interest in running safe community events in Ireland.
4. Who we share it with
We do not sell your personal data. We use trusted processors to run the site:
- Hosting & database providers that store the application and account data.
- Resend to send transactional emails (for example email verification and contact-form notifications).
- Cloudinary to store and deliver profile photos, gallery media, and community uploads.
Staff and moderators can see information needed to run events and review content. Public profiles and approved community/gallery content are visible to site visitors.
5. How long we keep it
We keep your account and related data while your account remains open. If you cancel an event registration, personal notes and song sheets for that RSVP are cleared; a cancelled record may remain for organisational purposes (for example who cancelled and when). Rejected media files are removed from Cloudinary; moderation records may be kept briefly for safety and abuse prevention.
6. Your rights
Under applicable data-protection law (including the GDPR as it applies in Ireland), you may have rights to access, correct, or delete your personal data, and to object to or restrict certain processing.
You can edit your profile at any time. You can permanently delete your account from Edit Profile. Account deletion removes your personal data, profile photo, community posts and comments, gallery uploads, social links, likes, and event registrations from our systems (including files stored on Cloudinary). You can also contact us via the Contact page or staff@jamsessionlab.ie.
7. Cookies & security
We use essential cookies/session storage needed for login, security (CSRF protection), and core site features. We take reasonable technical and organisational measures to protect your data, but no online service can guarantee absolute security.
8. Changes
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Significant changes may also be highlighted on the site or by email to registered members. See also our Terms of Service.
